Alle Zürcher Notariate sind gleichzeitig Konkursämter und Grundbuchämter. Zürcher Konkursämter sind verpflichtet, nicht nur die eigenen Akten aus einem Konkursverfahren aufzubewahren, sondern auch die Geschäftsakten der jeweiligen konkursiten Firma. Die gesetzliche Aufbewahrungspflicht beträgt grundsätzlich 10 Jahre (für einzelne Akten 30 Jahre). Insbesondere für die zehnjährige Aufbewahrung der Geschäftsakten betreiben die Notariate heute neun sogenannte Zentralarchive. Die neun Zentralarchive befinden sich an sieben Standorten und sind jeweils einem Konkursamt/Notariat vor Ort angegliedert. Das Management eines Archivs (Lagerinventar, Zu- und Abgänge) erfolgt durch einen Notariats-Mitarbeitenden aus dem Notariat vor Ort. Eine IT-Applikation bietet eine Gesamtübersicht über die Auslastung der einzelnen Archive. Die steigende Zahl von Konkursen im Kanton Zürich führt dazu, dass auch die Menge an Konkurs- und Geschäftsakten ansteigt und die bestehenden Zentralarchive der Notariate die Grenze ihrer Kapazität erreichen, teilweise bereits erreicht haben. Aus diesem Grund und dem Bedürfnis, die Konkursämter des Kantons nicht zusätzlich mit Lagerdienstleistungen zu belasten, hat die Geschäftsleitung des Notariatsinspektorats ein Outsourcing der Konkursaktenlagerung als zukunftsfähige, skalierbare Lösung beschlossen.
