Die Messe Berlin GmbH, im Folgenden gleichbedeutend auch Messe Berlin (MB) und Auftraggeber (AG) genannt, schreibt folgende Leistung aus: Bookingtool + Angebotserstellung, CP1-2025-0062 Gegenstand dieser Vergabe ist die Beschaffung, Bereitstellung, Implementierung und Betrieb einer Lösung für das Projekt Bookingtool + Angebotserstellung. Der Bereich Guest Events (GE) trägt jährlich durch die Betreuung zahlreicher Gastveranstaltungen erheblich zum Erfolg der Messe Berlin bei. Seit 2019 ist die Anzahl der Gastveranstaltungen kontinuierlich gestiegen - von 60 auf eine prognostizierte Zahl von etwa 80 Veranstaltungen im Jahr 2025. Neben der Betreuung von Gastveranstaltungen ist die Betreuung des Rahmenprogramms von Eigenveranstaltungen wie der ITB, InnoTrans und Grünen Woche ein weiterer wichtiger Aufgabenbereich der Abteilung. Bei der ITB 2024 wurden beispielsweise rund 65 Unterveranstaltungen von Guest Events organisiert, betreut und größtenteils auch abgerechnet. Zusätzlich betreut der Bereich Guest Events jährlich zahlreiche interne Veranstaltungen (z.B.GF-Infothek, Betriebsversammlungen, Workshops, Erste-Hilfe-Kurse, etc.). Der Geschäftsbereich GE verfolgt das Ziel, für ihre Kunden den 'Perfect Fit' und gleichzeitig die ideale Auslastung der Messe Berlin Locations zu erreichen. Das wichtigste Tool dafür ist ein effektives Buchungssystem, mit dem relevante Ressourcen für die Durchführung von Veranstaltungen gebucht werden können. Hauptnutzer für die Buchung von Ressourcen im System ist der Geschäftsbereich Guest Events bedingt durch die Anzahl an täglichen Buchungsanfragen. Zu Informationszwecken muss aber die gesamte Messe Zugriff auf das System haben und ausgewählte Mitarbeiter sollen auch Buchungsanfragen über das System stellen können. Bei Anbahnung der Buchung besteht ein hoher Kommunikationsbedarf mit dem Kunden (insb. externen Kunden). Es werden Angebote über die Hallenmiete hinaus erstellt, die teilweise die Basis für Folgeaktivitäten durch weitere Bereiche der Messe Berlin legen. Auch die Abbildung der Vermietung von Büroflächen oder Lagerhallen inkl. der Erstellung von Mietangeboten soll im System abgebildet werden.
