VUB wenst een raamovereenkomst af te sluiten voor de organisatie van zakenreizen. De opdracht bestaat uit: - bestellen van vliegtuigtickets point to point via een online tool - bestellen van vliegtuigtickets voor complexe reizen via offline modus - mogelijkheid tot bestellen van hotelovernachtingen, wagens, treintickets al dan niet in online of offline modus Op dit ogenblik boekt VUB +/- 50% van zijn reizen online en +/-50% offline. Het is de bedoeling om het online gedeelte nog verder te doen toenemen. Wij zijn op zoek naar een reisagent die erkend is als officiële SAP Concur-partner en beschikt over bewezen expertise binnen het SAP Concur Travel ecosysteem. SAP Concur, inclusief Travel, is reeds aangekocht en de implementatiediensten zijn voorzien. De geselecteerde partner zal instaan voor de uitgifte van reisinformatie en tickets, en moet een directe koppeling kunnen maken met het Global Distribution System (GDS) voor een naadloze integratie met SAP Concur. Aangezien CO2 compensatie belangrijk voor ons is, zoeken wij een partner die mogelijks één van de volgende drie oplossingen rond sustainability en CO2 compensatie ondersteunt: - Thrust Carbon for Concur Travel - Jet-Set Offset - SQUAKE CO2 Solution Suite SAP Concur is het door ons gekozen platform voor geïntegreerd reis-, uitgaven- en factuurmanagement. Het systeem wordt gebruikt door meer dan 46.000 organisaties wereldwijd en biedt: • Geautomatiseerde reisboekingen via een centraal platform • Real-time uitgavencontrole met AI-ondersteunde verwerking • Mobiele app voor reizigers en beheerders • Geïntegreerde beleidshandhaving met automatische controles • Uitgebreide rapportagemogelijkheden voor management en compliance • Wereldwijde compliance ondersteuning inclusief Belgische regelgeving Voornaamste vereiste voor deelname aan deze overheidsopdracht: 1. SAP Concur Partnerschap Extra toelichting rond deze opdracht: zie bijlage D vereisten voor deelname De initiële contractduur van de opdracht is 3 jaar met één mogelijke verlenging van drie jaar tot een maximale contractduur van zes jaar. De verlengingen gebeuren op basis van de Wet van 17 juni 2016, artikel 57, tweede lid van de wet overheidsopdrachten. De verlenging houdt in dat de contractuele voorwaarden ongewijzigd blijven. De verlenging gebeurt via uitdrukkelijke beslissing. Het maximale bestelbedrag van deze opdracht bedraagt 4.000.000 EUR excl. BTW per jaar of over de de totale looptijd van 6 jaar 24.000.000 EUR excl. BTW, dus inclusief de verlengingen. Plaats van dienstverlening: Vrije Universiteit Brussel, Pleinlaan 2 te 1050 Brussel
